Position Summary ISA‑ALP is seeking a detail-oriented, self-driven/proactive Administration Coordinator to support the day-to-day operations of our small but dynamic team. This role executes leadership support operations including member programs and events, board meeting action items follow through, member survey and research participation and presentation, and marketing coordination. In addition, this role may grow into supporting prospective member sales and marketing. The ideal candidate will bring experience in managing logistics, handling administrative workflows, and communicating professionally with members and vendors. While many projects are self-regulated, this contracted position requires attending meetings with staff, members, and board on a regular basis. Training and feedback will be provided to maximize your effectiveness and shared outcome success as a team. This support is a fully remote, contracted role. Candidates may be based anywhere in the U.S., as long as weekly time commitments align with our existing staff and program schedules. Key Responsibilities Program Coordination • Take ownership of the lifecycle of member programming – managing planning, coordination, and execution for ISA-ALP’s events and programs - primarily hosted on Zoom. And, potentially, supporting our member annual conference. • Manage registration lists, Zoom logistics, calendar invites, and follow-up communications. Executive, Board, & Organizational Support & Leadership • Prepare executive-level documentation, reports, and other confidential material. • Lead responsibility and time management to accomplish executive and program output balanced within allotted time frames. • Track action items, document minutes, and assist with scheduling and planning. Research & Survey Assistance • Help design and distribute surveys via SurveyMonkey. • Compile and analyze responses for internal reporting and program planning. • Partner with ISA-ALP’s contracted survey administration organization to plan and execute ISA-ALP’s larger surveys/studies. Marketing Coordination • Direct and partner with ISA-ALP’s contracted design manager to organize internal and external member communications, manage deadlines and ensure smooth handoff of assets. • Update member website items. Partner with ISA-ALP’s contracted website manager to improve site, as needed. • Track click and open rates to drive effective communications. Membership Sales Support (future) • Assist with member recruitment by identifying and engaging prospective members through tools like LinkedIn Sales Navigator. • Coordinate and participate in introductory meetings/communication with potential members, providing information about ISA‑ALP’s value, programs, and community. • Track outreach efforts and help refine recruitment processes in collaboration with leadership. Member Communication & Admin Tasks • Respond to certain member inquiries and requests. • Maintain and update Dropbox files, SOPs, and shared resources. • Manage internal calendars, email communications, and light data entry tasks. Required Skills & Experience • Proven administrative support/project management/program coordination and/or virtual assistant experience • Strong organizational and time management skills — able to manage multiple priorities at once • Excellent written and verbal communication skills • High attention to detail and accuracy, especially in document preparation • Comfortable working independently in a remote environment • Professional and approachable demeanor when engaging with members, vendors, and partners • Preferred: • sales experience, especially utilizing LinkedIn Sales Navigator • Experience with the below tools and platforms • 501(c)6 membership organization experience is a plus Tools & Platforms Used (but not limited to): • Zoom (meeting setup and coordination) • SurveyMonkey (surveys and reporting) • Mailchimp (member email communication) • Asana (project and task management) • Microsoft Outlook and Office 365 (email, Word, Excel, PowerPoint, Teams) • Dropbox (file sharing and documentation) • Adobe Acrobat Pro (project and reporting management) • Slack (member communication) • ChatGPT Compensation • Contracted long-term agreement, approximately 80-90 hours/month • Rate: or $2,250-$2,750/month, commensurate with experience • Flexible schedule with collaboration primarily during U.S. working hours To Apply Submit a resume or portfolio and brief cover letter highlighting your experience with administrative coordination, event or program planning/project management, sales, remote work, and any relevant experience in programming, nonprofit or membership operations, or learning/training industries.
