Office Coordinator II
Under minimum supervision, performs office management of moderate difficulty for an academic department chair and faculty as assigned. Office management responsibilities include, but not limited to, preparing correspondence; filing; tracking department and Ram Media (TV, Radio, TV Sports, Ram Page) budget and student salary expenses ; proofreading documents; scheduling students for appointments; reviews graduation lists; purchasing for department and Ram Media, processing personnel or travel transactions for the academic departments and for Ram Media. Responsible for building schedule in Banner for Fall, Spring, and Summer classes for Communication & Mass Media undergraduate courses and Communication Graduate courses. Coordinates Work Study/GA schedules to support department and faculty.
Prepares Degree Evaluations & What-if-Analysis to assist faculty advisors and students to support student retention by providing a model of service excellence.
Typical Duties/Job Duties
? Plans and organizes work to ensure completion of tasks and functions in a timely manner.
? Answers the telephone, addressing the caller in a professional, service-oriented manner; routes calls, takes messages, and/or minor interpretations of procedures, policies, or practices.
? Composes and/or types routine memos and letters, using a personal computer or typewriter.
? Sends recruiting information to prospective students.
? Takes minutes at various department meetings, as assigned.
? Communicates with faculty, staff, students, visitors, and others in the course of performing work or coordinating tasks, as appropriate.
? Ensures adherence to records maintenance, confidentiality, and related practices and policies.
? Operates a variety of office equipment such as PCs, photocopiers, calculators, fax machines, and related.
? Prepares office and other supply requisitions; assists in maintaining department supply inventories.
? Completes and maintains general office files in accordance with instructions or procedures.
? Maintains current students files.
? Tracks departmental and Ram Media spending and maintains records of purchased goods/items.
? Attends trainings for new procedures and processes.
? Inputs schedule of courses in Banner; monitors/adjusts course caps as requested by the department chair.
? Processes ePAFs in the hiring of undergraduate and graduate student workers.
? Assist in reviewing student time sheets.
? Tracks spending for department and Ram Media budgets and for Ram Media student salaries.
? Performs other related duties as assigned.
Knowledge, Skills and Abilities
? Knowledge of secretarial, clerical, and general office procedures and practices;
? Knowledge of spelling, grammar, and punctuation;
? Knowledge of Microsoft Office applications and software;
? Ability to perform basic mathematical calculations;
? Ability to type 45-50 WPM ;
? Ability to organize and complete tasks in an accurate and timely manner;
? Ability to perform work requiring accuracy and attention to detail;
? Ability to operate a variety of office equipment;
? Skilled in the operation of personal computer keyboards, typewriters, and other office equipment;
? Skilled in oral and written communication; skill in interpersonal relations;
? Ability to work with minimum supervision.
Minimum Qualifications
? High school diploma or GED certificate is required.
? Three years of diversified secretarial or equivalent experience is preferred.
